What Coordinators Can Do

A coordinator is club staff with real management access, but without the full range of an administrator. There are two kinds, scoped differently, and they don't work the same way.

Club Coordinator vs. Squad Coordinator

Club Coordinator is club-wide. A club coordinator gets their own Coordinator tab in the mobile app, separate from Admin and Coach.

Squad Coordinator is scoped to one specific team or division. A squad coordinator doesn't get a separate tab: they share the Coach tab with coaches, and the app relabels it "Coordinator" for them. They see a subset of what a coach sees, limited to the team or division they were assigned to.

Neither role includes managing club staff or roles, and neither includes billing. Those stay with Club Admins and Account Admins.

Becoming a Coordinator

Only a Club Admin can grant either coordinator role, and only from the web admin interface:

  • Club Coordinator is assigned the same way as any other club-wide role, from the club's Users/Roles page.
  • Squad Coordinator is assigned per team or per division, from that team's or division's page in the admin interface. An admin can assign a different squad coordinator to each team or division; the role doesn't carry across squads automatically.

What a Club Coordinator Sees

Opening the Coordinator tab shows a list of sections. Which ones appear depends on what your club has turned on:

  • Divisions: view your club's divisions
  • Locations: view and manage venues
  • Families: view family details (read-only; a club coordinator can't edit emergency contacts)
  • Seasons: start the next season, or look back at a past one
  • Holidays: manage club holidays
  • Calendar: the club calendar, with event management
  • Scorekeeper Requests: review requests for scorekeeper access
  • Volunteer: post volunteer jobs and review signups (only shown if your club uses volunteer jobs)
  • Attendance: take and review athlete and volunteer attendance (only shown if your club uses attendance tracking)

These reuse the same screens an admin uses, just reached from a different tab. What's deliberately absent: no staff/role management, and no billing.

What a Squad Coordinator Sees

A squad coordinator sees the same dashboard a coach does for the team or division they're assigned to, relabeled "Coordinator" instead of "Coach." That includes the roster, schedule, and the tools for reaching guardians on that squad. What's scoped away: a squad coordinator's access stays inside their own team or division. They don't see other squads, and they don't get the club-wide sections a Club Coordinator has.

Common Questions

Can a coordinator become an admin from their tab? No. Neither coordinator role can grant roles to anyone else, not even their own role to someone else. Only a Club Admin can do that.

Can someone be a coach and a squad coordinator at the same time? Yes, and if they are, the app shows them as a coach. The coach label and full coach access take priority over the coordinator relabeling.

What if a club coordinator's club doesn't use volunteer jobs or attendance tracking? Those two sections simply don't appear. Everything else on the list still does.
